Welcome to the Hickman Mills Clinic Office of Encompass Medical Group. Our goal is to provide quality medical care to you and your family. This pamphlet will provide you with information regarding our office.

Our telephone number is (816) 348-2260 during regular daytime hours to schedule routine appointments. Please note: phone calls are extremely heavy early in the mornings. In order to minimize phone hold times, we ask that you call after 10:00 a.m. for non-urgent needs (e.g., referral requests, lab requisition, lab/test results, etc.). Schedule an Appointment
To help us provide you with enough time to see your physician, please have the following information ready when you call to make an appointment.
1. Who needs to be seen (you or a family member)
2. Name of the insurance carrier
3. Which physician you want to see
4. Reasons for visit (e.g., illness/problem/physical, etc.)
Appointments for acute needs are given high priority. If you need to cancel your appointment, please call as soon as possible. This enables us to offer that time to someone else that may need to be seen. You can also schedule your appointment, and many other services by visiting our website at www.encompassmed.com.
Please arrive 15 minutes before your scheduled appointment time. Our reception staff will be updating your patient information. You may be asked to complete several forms.
Bring Your Insurance Card
You will be asked to present your insurance card to the receptionist when checking in every time. Please notify the receptionist of any changes in your insurance coverage, or vital information such as your address phone number. Your office co-pay is due at the time of check-in. We do not handle workman’s compensation injuries or deal with workman’s compensation claims.
Your Encompass Visit
Your name will be called when the physician is ready to see you. You will be weighed, and your blood pressure, pulse and temperature taken as needed. You will be asked questions regarding current problems or concerns for the doctor. You will also be asked what medications you are taking. Please bring all of your medication bottles with you to every appointment. We recommend that all patients keep a list of their current medications with strength, and directions on how to take. You will also be asked questions regarding allergies to medications. We make every effort to remain on time for appointments. If we are running behind, we will keep you informed as to how long your wait will be. If you are late for your appointment, you may be asked to wait, and possibly reschedule your appointment.
Patients are encouraged to call with any medical questions they may have. Our physicians have appointments scheduled continuously throughout the day, and are not always available to answer every call. We ask that you leave a detailed message with call back numbers so that we can help you as quickly as possible.
We offer lab services on-site from 8:00-5:00 daily. Many lab studies require that you be fasting. If you are unsure if the tests you are having require you to be fasting, please ask a member of our staff, and they will be happy to help you. Your physician/practitioner will review your lab results and notify you of the results. If your lab results are within normal ranges, you will be notified by mail within two weeks. If your lab results are not within a normal range, you will be contacted directly by your provider to discuss the results.
Hickman Mills Clinic offers numerous radiological services on-site to their patients. The radiology department is open from 8:00-5:00 daily and many procedures can be done sameday or walk-in. If your procedure requires preparation, you will be asked to schedule the appointment at a later time. We are happy to schedule your mammogram or DEXA Study (screening for osteoporosis) the same day as your physical making it convenient for you. Ultrasound and echocardiograms are available and may be ordered under the direction of your physician. The results will automatically be sent back to your physician within a 24 hour time frame. If your x-ray results are within a normal range, you will be notified by mail within 2 weeks. If you need additional studies, you will be contacted by your physician or a member of our staff.
You may have forms that need to be completed by your physician (physical forms, immunization records, work excuses, FMLA, etc.). We ask that you provide us 24-48 hours to complete the forms. Please leave the forms at the receptionist area. There may be a service charge for completing some forms.
Many insurance plans require you to have a referral, and authorization from your primary care provider, to see a specialist. We require 48 hours notice for referrals. To process your referral, we will need the following information: your name, birth date, specialist’s name, phone and fax number, and why you are seeing the specialist. The Hickman Mills Clinic referral line is (816)-348-2260. Procedures and/or surgery may require an additional authorization from your insurance. Completed referrals are faxed to the specialist, when necessary. It is the patient’s responsibility to know the benefits and exclusions of their insurance plan. Contact your insurer’s customer service for this information.
Urgent Care has the capability to provide care for minor emergencies and illnesses.
Urgent Care services are available at our Wornall office. Appointments can be scheduled by calling (816) 942-8200. Please note: Urgent Care is not able to complete forms or refill routine medication. Urgent Care is open evenings and weekends. (The hours of operation may be adjusted according to the season.) A nurse is available to answer any questions you may have.
If you have an illness that requires prescription medication, you may be asked to schedule an appointment to be examined before treatment is started. For all prescription refill needs we ask that you notify your pharmacy to request refills. Your pharmacy will call or fax your prescription to our office. Your physician may need to review your chart prior to authorizing a prescription refill. Please allow 48 hours processing time. Refills are handled Monday–Friday.
If you are new to Hickman Mills Clinic you will need to sign a medical release, and we will then request a transfer of your records from your previous doctor. If you want your records sent to another physician before your first appointment, we ask that you give us at least two weeks notice. You will be asked to fill out a release of information form. Medical Records can also assist you in printing out dates of service reports.
Our phones are answered 24 hours a day. During non-office hours, a physician or nurse will be available to return your call. If your emergency is life threatening, call 911 and proceed to the emergency room. Please notify our office of your ER visit at your earliest convenience.
Insurance and Billing
All patients will be responsible for any fees / copays incurred at the time of service. A billing fee will be added to any charges not paid at this time. You may be responsible for charges not covered or authorized by your insurance. Encompass participates with many insurance plans.
